Terms and Conditions

Booking terms for Van Rental Chennai: what the fare covers, how kilometres and bata are counted, permits, and our cancellation and refund policy.

01

Who these terms apply to

Van Rental Chennai hires out tempo travellers, vans, Force Urbania coaches and mini buses with a driver, for local trips in Chennai and outstation trips across South India. These terms apply to every booking we accept, whether it is made by phone, on WhatsApp, through the enquiry form on this site or in person. Booking a vehicle with us means you accept them. We do not hire out self drive vehicles.

02

What a quote includes

Every quote we send covers the vehicle, fuel and the driver. Outstation trips are quoted per kilometre against a daily minimum. Local trips in Chennai are quoted as fixed hour and kilometre packages.

The per km rate for each vehicle is shown on that vehicle's page and in the tariff table. Rates change from time to time, so the rate that applies to your trip is the one written in your quote, not one you may have read on the site earlier.

03

What is charged on top

The following are not included in the per km rate and are payable by you at actuals:

  • Toll and parking
  • Inter state permit and entry tax where the route crosses a border
  • Hill charges on ghat routes such as Kodaikanal, Ooty, Yercaud, Valparai and Tirumala
  • Extra kilometres and extra hours beyond the package booked
  • Driver bata, which is a flat daily amount quoted as its own line

We put the permit and any known toll into the quote before you confirm wherever we can. If something is not written in your quote, ask us before you confirm and we will put it in writing.

04

How kilometres and hours are counted

Kilometres and hours both start when the vehicle leaves our garage and end when it returns, which is standard practice for outstation hire in Chennai.

Outstation trips carry a minimum of 300 km a day. On a multi day trip that minimum applies to each day, so a three day trip is billed on at least 900 km even if you travel less.

Driver bata is charged per calendar day rather than per 24 hours, and covers up to 12 hours of duty. Past 12 hours, the next day's bata applies.

05

Booking and payment

An advance confirms the booking and holds the vehicle for your dates. The balance is paid to the driver, part when the journey starts and the rest when the trip closes. The advance amount is stated in your quote.

Until the advance reaches us the booking is provisional and the vehicle is not held for you.

Payment to the driver is in cash unless we have agreed something else with you in writing.

06

Cancellation, changes and refunds

How a cancellation is treated depends on how much notice we have.

When you cancelWhat happens to the advance
More than 7 days before pickupRefunded in full
Within 7 days of pickupNot refunded
No show, or after the vehicle has left our garageNot refunded, plus one day's hire if the vehicle has already travelled to the pickup point

A few things that sit alongside that table:

  • Changing your dates. More than 7 days before pickup you can move the booking to new dates at no charge, subject to a vehicle being available and to any difference in fare. Within 7 days we will do what we can, but a change at that point depends on availability and the advance is not automatically carried over.
  • Cutting a multi day trip short. You are charged for the kilometres actually covered and the driver bata for the days used. Anything already paid above that is refunded.
  • If we cancel. If we cannot supply a vehicle at all, you choose between a full refund of everything paid and a replacement vehicle.
  • Events outside anyone's control. Weather, strikes, road closures, government restrictions and similar events are not treated as a cancellation by either side. We reschedule at no charge, or refund case by case.
  • How refunds reach you. Refunds go back the way you paid, normally within 5 to 7 working days. A cash advance is refunded by UPI or bank transfer once you confirm the details.
  • Where to send a cancellation. Cancellations must come to us on the number at the bottom of this page. Telling the driver, or any other person, is not a cancellation.
07

Your vehicle and your driver

Seat counts are legal capacity, not a comfort rating. A 14 seater carries 14 passengers plus the driver. We cannot carry more passengers than a vehicle is registered for, whatever the reason, because it voids both the permit and the insurance.

AC is switched off on ghat climbs and while the vehicle is standing. This is normal practice across operators and it reduces engine load on a long uphill.

On multi day trips the driver needs a rest window. We will not agree to overnight legs back to back with no rest, because a tired driver on a ghat road is a risk we are not prepared to take with your group in the vehicle.

Vehicles are allotted by seat capacity and category, not as a named individual vehicle. Any photographs we share while you are booking show the type and class of vehicle you are booking. They are not a picture of the exact vehicle that will arrive, and we do not guarantee a particular make, model, registration number, colour or interior finish.

Where a vehicle develops a mechanical problem, is held up on another trip or is otherwise unavailable on your date, we will supply a vehicle of the same seat capacity or larger in its place. If the only vehicle we can offer does not suit you, you may cancel and we will refund your advance in full, whatever notice period you are in.

08

Permits and route restrictions

Not every vehicle is permitted on every route, so tell us the full route when you book and we will allot one that is.

  • The larger tempo travellers, 13+1 and 14+1 seater, are run on Tamil Nadu and Puducherry routes.
  • For Andhra Pradesh, Kerala and Karnataka we allot a vehicle carrying the right permit. On the Chennai to Tirumala run that is the 12+1 seater.
  • The 21 seater mini bus is not run into Andhra Pradesh.
  • On the Tirupati to Tirumala ghat road the Alipiri tollgate is closed between 12 midnight and 3:00 AM. One hill entry is included in the trip and a second entry on the same trip is charged extra.
09

Conduct in the vehicle

Smoking, alcohol and any illegal activity are not permitted in our vehicles. A driver may end a trip where this is ignored, and no refund is due in that case.

You are responsible for damage caused to the vehicle by your group beyond ordinary use, and for the cost of extra cleaning where the vehicle is left needing it. We will show you what it costs before anything is charged.

10

Luggage

Luggage goes at the rear and, where one is fitted, on the roof carrier. Seat capacity and luggage capacity are not the same thing: a full group with a large suitcase each usually needs the next size up or a roof carrier. Tell us what you are carrying when you book and we will tell you what fits.

11

Delays and limits on our liability

We plan departure times around the route. Most South Tamil Nadu temple trips leave Chennai by 5:00 AM so the group arrives for the morning darshan.

We are not liable for delays caused by traffic, weather, road closures, strikes, mechanical failure beyond reasonable maintenance, or any other event outside our control, nor for missed connections, darshan slots, hotel nights or other bookings that follow from such a delay.

If a vehicle breaks down we will repair it or send a replacement as quickly as we can.

Our liability on any booking is limited to the amount you have paid us for that booking.

12

Your personal information

When you send an enquiry we collect your name, phone number, your email if you give one, and the trip details you send us. We use them to quote for your trip, to arrange it and to follow up on the enquiry. We do not sell them to anyone.

Enquiries sent using the WhatsApp button on this site are delivered through WhatsApp and are also covered by WhatsApp's own terms.

If you want your details removed from our records, call or message us on the number below and we will remove them.

13

Changes to these terms

We may update these terms. The version on this page at the time you book is the one that applies to your booking.

14

Governing law

These terms are governed by the laws of India. Courts in Chennai, Tamil Nadu have jurisdiction over any dispute arising from a booking.
